By accessing the Barrel Fills feature, users will be able to input barrel inventory into the Barrel Rackhouse Inventory.
To access the desired function, please navigate through the following steps:
- Navigate to the side menu icon in the upper left-hand corner.
- Then select "Barrels," from the menu options.
- Within the "Barrels" section, locate and click on "Fill Barrels."
- Finally, initiate a new fill operation by selecting the option labeled "New Fill."
Step 1:
- Enter the barrel fill date in the Time Stamp
- Select where the spirits came from in the Source Tank
- Cut Proof- Whiskey Systems does not require user to cut the proof before barreling, but you can if it helps. Users are required to enter the correct proof and temperature below, which should be the barreling proof. (Click here for more information on our Cutting Proof Calculator.)
- Attach the kind of barrel that was used in the Empty Barrel Stock
- Empty Barrels Stocks will be added as Barrel Raw Materials.
- Anticipated Use will allow users to attach Product Masters to the barrels for bottling.
- The Start Barrel # is a rolling number in Whiskey Systems. This can be changed, if needed.
- Enter in the Barrel Qty field how many barrels were filled from the source tank.
- Lot Identification number (Date code) is a required field by the TTB to have a date code. Add suffix to this field if filling multiple lot on the same day. Per 27 CFR § 19.485.
- Add Internal Lot Name information, if necessary
- Enter the Cooperage Size for each barrel in Wine Gallons.
- If filling more than one barrel, specific fill levels will be provided in Step 2.
- Select what Type of Barrel that are filled. (New or Used.)
- Check the provided boxes, if necessary, for the Barrel Attributes
- Enter the barrel’s Temperature when being filled.
- Enter the barrel’s Observed Proof/ABV.
- The system will do the math to find the True Proof
- List the barrel Location, if necessary.
- Assign Warehouse Sots (Pro 1 ^) will allow users to link their barrels to warehouses that were created in the Setup Wizard.
- Set the Gauging method to either Volume or Weight.
Note: By default, we set it to Volume, this tends to be the easiest method. Example is if you have a 53-gallon barrel, you fill the barrel all the way, 53 wine gallons. The system will do the math to come up with your proof gallons in each barrel. If you choose weight, you will need to add in weight in Step 2. The system will do the math to come up with your proof gallons in the tank.
- If you are the owner of the barrels, leave the Owner field blank.
- If necessary, use the Consumable Materials feature to consume Raw Materials, such as staves, wood ships, etc.
- Click "Dump,” to move to the next step.
Step 2:
This Step will allow users to make changes in the Internal Lot name field and Barrel Number field.
- Adding letters to the Barrel Number is available, if necessary.
If the source tank has remaining spirits, leave the Amount Remaining In Tank field as is.
- If the tank is empty after the fill and plan to take a loss, enter zero and press “Tab” to take the loss.
Step 3:
- Verify the fill information is correct.
- Enter labor hours, if tracking labor.
- Confirm/Submit
