Linking an existing user account to another system can be done on your own, if you are already an Admin user in Whiskey Systems. The Linked DSP feature described here is a paid Add-On; please contact support if you would like to add it to your subscription.
Prerequisites:
- The two distilleries must be Linked to one another
- You must be a user with Admin privileges in the linked distillery (DSP #2 in this example)
Consider two linked distilleries using Whiskey Systems - DSP #1 and DSP #2.
Alice the Administrator has two user accounts, one in each DSP, and has Admin privileges in both.
Bob the Barrel Guy has one User account at DSP #1 and would like to have access to DSP #2.
Bob can be granted several different levels of access:
- Bob can be granted Enable Sign In permission which will allow Bob to log in to DSP #2, subject to the permissions granted to him in that system. Bob can be granted the default User or Administrator permissions, or you can define more granular permissions.
- Alternatively, Bob can be granted View Owned Linked Barrels permission. This role allows Bob to view barrels at DSP #2 which are "Owned" by DSP #1 and to perform Transfer in Bond of spirits from DSP #1 to DSP #2. Bob will not be able to log in to DSP #2 or view any other data besides barrels held by DSP #2 which are "Owned" by DSP #1. With this access level granted, a new menu item appears for Bob in DSP #1 under Barrels > Rackhouse Inventory:
- Bob can be added as a user account with no roles and no permissions in DSP #2. This allows Bob to perform Transfer in Bond of spirits from DSP #1 to DSP #2. Those Transfer in Bond transactions will then automatically show up in DSP #2. No other access is granted in this case - Bob will not be able to view any DSP #2 data, nor log in to DSP #2.

To begin, Alice must log into DSP #2 by clicking the User icon (top right) and choosing DSP #2 under Your Linked Distilleries:
Once switched to DSP #2, navigate to Menu > Administrator > Manage Users
Click "Add New User"
Enter the email address associated with the Bob's account from DSP #1. Bob must use the same email address in both systems in order for Linked DSP functionality to work.
Once you have entered Bob's email address, the form will change slightly and it will indicate that you are creating a linked user:
- To grant Bob Administrator privileges at DSP #2, check the "Distillery Admin" and "Enable Sign In" boxes.
- To make Bob a standard User at DSP #2, check the "User" and "Enable Sign In" boxes.
- To grant Bob only "View Owned Linked Barrels" permission, choose that checkbox (and only that checkbox).
- To grant Bob only "Transfer in Bond from DSP #1 to DSP #2" permission, leave all boxes unchecked.
Click Create Account and let Bob know that he should be able to access DSP #2 according to the permissions defined here!
Tip: Once Bob's linked account has been created, you can edit the Permissions associated with that account on DSP #2 and get as granular as you would like to. Permissions are the ultimate determining factor for a user's access level. In other words, privileges associated with roles granted above (e.g. UserAdmin) can be overridden using the Permissions feature.
Note: User Permissions are unique to each user account at each DSP. In other words, Bob's access level and permissions in DSP #1 are independent from his access level and permissions in DSP #2. Changing one will not affect the other, and you are welcome to define different levels of access in each system.
