Product Masters in Whiskey Systems represent Cased Finished Goods that your DSP holds in inventory - whether that DSP bottled it or not.
Examples of Finished Goods include Corn Whiskey at 80pf in 12-pack 750mL bottles, or a 355 ml Canned Cocktail at 12pf in a 24-pack flat.
Each variant (i.e. any change in product, bottle size, bottles per case, or proof) must be represented with its own Product Master.
For consistency's sake, you can use the "Copy Product Masters" process to "clone" your Product Masters when you need to create a new variant - for example, if you have a 750ml product and you want to start bottling it in 1 Liter format, you'd copy the existing 750ml Product Master and edit it to change the bottle size.
To Add a New Product Master:
Navigate to Settings > Things You Make > Product Masters
Click the “+ Create New” button:
- Product Line: If applicable, use the drop-down option to select the appropriate Product Line this Product Master will be associated with. Product Lines are typically used for Brands but can be used to logically group your Product Masters in any way you see fit (e.g. "Aged" & "Unaged"). You may also choose not to use Product Lines at all.
- Label/Fanciful Name: This field is only used as an input when automatically generating a Product Master Name. It is not saved in the database. Enter the class and type of the spirit (e.g. Bourbon Whiskey) or a Fanciful Name ("Joe's Spiced Rum").
- Bottle Concentration: Enter the Proof or ABV stated on the Product's Label. Select either Proof or ABV by sliding the form's option towards the appropriate Unit.
- Bottle Size: Select the appropriate Bottle Size from the menu; make sure you are using appropriate bottle sizes (fill heights) for your country's regulations. For TTB fill height regulations, see 27 CFR 5.203.
- Btls Per Case: Enter the number of Bottles/Cans per Case.
- Product Master Name: We recommend using the automatic Product Master Name generation feature. To leverage this, you just need to fill out the 5 fields above (Product Line, Label/Fanciful Name, Bottle Concentration, Bottle Size, Btls Per Case) and Whiskey Systems will stitch these fields together into a standardized name when you click the small "Copy" icon next to the Suggested Name:
Alternatively, you may specify your own Product Master name using any desired formatting.
- Recipe: Select the Recipe (Internal Spirit Type) used to create the Product Master. This field allows Whiskey Systems to properly report the components of the finished product in parts III and IV of the Processing report. This field is required.
- Sort Order: Optional; adjust only if the new Product Master should appear in a non-alphabetical position within the Product Master list.
- Age (Years): Optional; enter spirit age if desired.
- If this product is Bottled For Export, check the box next to the For Export option to report appropriately in Processing Part IV.
- If this product is Bottled In Bond (per 1897 Bottled in Bond Act requirements listed in 27 CFR 19.364), check the box next to the Bottled In Bond option to report appropriately in Processing Part IV.
- Note: "Bottled In Bond" is uncommon. It is a specific label claim, when the spirit meets all of these requirements:

The liquor must be the product of one distillation season (January–June or July–December) by one distiller at one distillery.

It must have been aged in a federally bonded warehouse under U.S. government supervision for at least four years and bottled at exactly 100 proof.

The bottled product's label must identify the distillery where it was distilled and, if different, where it was bottled.

- Standard FOB Price and Standard FOB Bottle Price (optional) allow you to define the default price that you will charge when selling this product (at both the case price and bottle price levels).
Click the Submit button at the bottom of the form to save the New Product Master if no additional Advanced Product Master features are needed.
QuickBooks Fields:
If desired, enter QuickBooks Name for the Case and Bottle variants. Names specified here will flow through to QuickBooks Online as "non-inventory items". If you leave these fields empty/blank, Whiskey Systems will assign a QuickBooks name based on the Product Master Name, as shown here:
Optional Fields:
If desired, include a Standard Cost Per Case (COGS) and your desired SKU/Part #. Make adjustments to the Present (Effective) Tax Rate by clicking on "Manage Tax Rates": this allows you to take advantage of "5010 credits" for eligible wine and flavors:
Advanced Fields:
Click on the "Advanced" button to pop-open some additional Product Master fields:
These fields allow you to define your UPC, SCC, and Control State codes. You can also specify your physical product attributes like full bottle weight, pallet specs and TI-HI:
Enter relevant information for any Control State Labels that will be printed for the Product Master:
Enter any applicable Case Specs:
Click Submit when all required Product Master fields are completed to save the New Product Master.
