Whiskey Systems allows users to track their barrel locations by rackhouse, zone, row, tier and location. Use of these features is optional. Use as many or as few as you wish. Whether you call your barrel storage a warehouse, rackhouse or rickhouse, this is the place to configure it. The system is flexible enough to track any kind of storage configuration (palletized, racked, ricked, etc).
Manage your rackhouses and zones in the Settings area of Whiskey Systems. Once on the Settings page, go to Storage Locations > Rackhouses.
Here's our recommended setup configuration:
| Item | Intended Purpose |
| Rackhouse | Create one rackhouse per physical building |
| Zone * | Create one zone per floor (or other large area) |
| Row | Define the number of rows of barrels in a zone |
| Tier | Use for pallet/rack height within a row |
| Location | Use for location (numbered spot) within a tier |
* Zones can only have one Row x Tier configuration. If your area has multiple different row/tier configurations, you should set up one zone for each unique configuration.
Let's say you are a small distillery and you just have a few rows of barrels, stacked one high. In this case, you might only care to use the "Row" field. Knowing that a barrel is in row #5 might be all the info you need to locate the barrel.
A larger operation might find it useful to use all of the rackhouse location fields. They might have multiple buildings (rackhouses). Each building might have multiple floors (zones). Each zone might have 20 rows of barrels stacked 5-high (tiers). Each tier might hold hundreds of barrels, in which case you'd want to know the location within the tier.
To add/edit a Rackhouse:
- Click + Add Rackhouse
- In the Name field, give your Rackhouse a name.
- Determine whether you need to check the In My Bond checkbox or not:
- Checking this box will track any barrels within this Rackhouse as part of your bonded facility and track associated proof gallons on your TTB reports.
- Leaving this box unchecked will treat this rackhouse as offsite storage for barrels; these will not flow through to your TTB reports
- Click Update
- To edit, click the Edit button, update as needed then click Update.
To add/edit a zone:
- Click + Add Zone and enter a name for the zone.
- Enter the number of tiers (this is the number of vertical levels on which you might store barrels).
- Enter the number of rows (this is the number of horizontal rows that might exist on each tier).
- Enter the total capacity that can exist in the zone.
- This requires a bit of quick math. If your tiers can each contain 10 barrels, and you have 5 tiers and 20 rows, you'd multiply all of those figures together to get your total zone capacity. (10 x 5 x 20 = 1000). Note that this value must be an even multiple of Tiers x Rows.
- Example: A zone with 2 rows and 5 tiers can have a capacity of 10, 20, 30, and so on.
- Whiskey Systems uses the capacity number to automatically assign locations to barrels when you are assigning them to a rackhouse.
- Click Update when finished.
- Use Edit to make changes as need and click Update to save any changes.
- Use Set Default to set a zone as your system's Default Zone. Setting a Default Zone can make Rackhouse Assignments quicker! For more information, see Barrel Rackhouse Assignments
